If you realize that you’ve submitted a proposal with I.e. the wrong costs or any other incorrect information, don’t worry. You can simply cancel your proposal and submit a new, correct one. We’re also keeping an eye on any proposals and will contact you if we spot an error.
To cancel it, please access your MICE access hotel account, go to your inquiry/proposal section and click on the red button in the top right hand corner of the page saying ‘cancel offer/ refusal’. After that, you’ll automatically be directed to the RFP interface and can re-submit the proposal. Make sure to do this as soon as you realise you made a mistake, so that the customer can quickly review your correct proposal and take you into consideration.
Your initial proposal will usually come with a timeframe in which your hotel holds the space and which allows the customer to review your proposal, clarify missing details and make a fully formed decision. The customer will have been notified this at the beginning and will usually have between 5 – 30 days to make a fully informed decision. However most hotel venue sourcing and booking decision require a longer lead time than 30 days. The customer will then have the opportunity to request an ‘extension of the offer’ which will be send in form of an email to you. You can then easily accept it by confirming the link.
If for any reason you won’t be able to extend the proposal for the length of time requested, I.e. the customer requested further 20 days but you can only hold it for 10 more days, please do get in touch with us, so we can discuss the next steps. Please only reject the offer extension if you’re really not able to hold it any longer.
Making a decision for the best conference hotel can take a while, especially if the event is a larger event and includes an overnight stay. Remember, that each RFP coming through ALLOCABO represents a potential new MICE customer for your hotel and should therefore be managed with the needed sales support to turn this lead into one of your MICE customers. Your sales team should therefore be following up with each client directly to find out if they need any more information or details to make a decision and clarify any outstanding questions. If the end user is interested in your hotel and would like to book it for their event, we’ll make sure that they secure your hotel through ALLOCABO before you can close the final deal with them and sign the event contract.
